Deposits and Cancellation Policy

We value each and every one of our patients and want to make sure we can accommodate all our patients for their scheduled and emergency appointments. As of the 1st of March 2023, we now require deposits for all appointments. All booking deposits are fully credited to your appointment on the day or are fully refundable when more than 48 hours notice is provided to reschedule or cancel an appointment. Due to our limited availability, any tentative booking hold that has not been secured with a deposit within 48 hours of making contact will be released and made available to other booking enquiries.

Late Notice Rescheduling, Cancellations and No-Shows

We understand there is the occasional difficulty attending appointments, however, our team members' time is dedicated to your appointment, and therefore, any confirmed bookings that are rescheduled or cancelled with less than 48 hours’ notice will forfeit their booking deposit and will be required to pay a $150 deposit to confirm any future appointment.


Please note all phone calls, SMS and emails are attended between 7am and 5pm, so contact must be made during these times. If cancellations are made after hours by these methods, the notice period will start at 7am the next morning.*

Late Arrival

If you arrive over 10 minutes late to your appointment, our schedule may not allow for your booked treatment. While we do our best to accommodate last-minute changes, if we are fully booked with patients, we may be unable to go ahead with a booking and late cancellation terms will be applied to the missed booking.

Payment Policy

To ensure a smooth transaction process, please review our payment policy outlined below:

1. Payment Methods: We accept the following forms of payment:
- Cash
- Credit Card (Visa, - MasterCard, American Express)
- Debit Card
- Immediate bank transfer or prior transfers
- ZipPay
- Afterpay

2. 3rd Party Payments: The use of third-party payment providers cannot be encouraged/recommended by our team. We may let the patients know they’re able to use these services, but we cannot make financial decisions or assist patients in the setting up of these services.

3. Private Health Funds: We accept all major health care funds and can offer claims and quotes using our HICAPS machine. We can offer a private health claim quote, but we cannot comment or recommend any particular funds , nor is DNTL Code a “Preferred Provider”. Patients must conduct their own due diligence regarding personal health insurance cover.

4. Trusts: Patients must clarify financial coverage by Lands Trusts prior to proceeding with dental or dermal treatment and ensure this is clearly communicated to DNTL Code. Patients can refer to the trust process as well as having a consultation prior to appointment to establish treatment plans.

5. Payment Due Date: All payments are due on the day of treatment.

6. Multi Step Treatment Plans: Multi step treatment plans such as dentures, splints, crowns and bridges may have the total cost of their appointment split into sections i.e. crowns and splints are both 2 appointment procedures so Payment can be split into 50% to be paid on the day of treatment and the remaining 50% upon the final treatment appointment. Please note, final treatment outcomes e.g. permanent crown, splint, final denture will not be delivered until full treatment amount has been paid.

7. Cancellation Policy: As per deposit policy discussed at the time of booking: if you need to cancel or reschedule your appointment, we require a minimum of 24hours notice. Failure to do so may result in a forfeit of the deposit.

8. Disputed Charges: If you believe there is an error in the charges or if you have any questions about your invoice, please contact us within 7 days of receiving the invoice so that we can address your concerns promptly.

9. Refunds: Refunds will be considered on a case-by-case basis and are at the discretion of the management team.

10. Changes to This Policy: DNTL Code reserves the right to modify this payment policy at any time. Any changes will be effective immediately upon posting the revised policy on our website.
